Production Coordinator
Description
OVERVIEW
We are seeking a highly organized and detail-oriented Production Coordinator. This role supports the daily coordination of production activities, ensures accuracy in mail processing requirements, and provides essential administrative support to keep the workflow running smoothly and efficiently.
Key Responsibilities
Production & Mail Coordination
· Coordinate daily production schedules, ensuring jobs move efficiently through print, lettershop, and mail processing stages.
· Prepare, verify, and maintain all Canada Post paperwork, including Statements of Mailing, manifests, and postage documentation.
· Ensure all mailings comply with Canada Post regulations, including proper sortation, mail class selection, addressing standards, and containerization.
Administrative Support
· Maintain accurate job records, production logs, run sheets, QC reports, and supporting documentation.
· Prepare sign-off packages, scan sheets, and other production documents as required.
· Manage incoming and outgoing production-related emails, requests, and approvals.
· Support inventory tracking for envelopes, inserts, stock, and other materials.
· Provide administrative support for scheduling, reporting, and general office coordination.
Quality Control
· Review job specifications and proofs for accuracy before production begins.
· Perform QC checks on completed work to ensure adherence to client requirements and postal guidelines.
· Escalate production or quality issues to the Production Manager promptly.
Client & Internal Communication
· Liaise with Client Experience/Account Managers to confirm job details, mailing quantities, and timelines.
· Provide updates on job status, production timelines, and mail induction dates.
· Work collaboratively with print, digital, inkjet, and lettershop teams to ensure smooth workflow.
Qualifications
· 2+ years of production coordination experience in print, mail, or lettershop environment.
· Hands-on experience with Canada Post mail preparation
· Knowledge of Canada Post tools and requirements (e.g., EST, 2Ship, Postal Guide).
· Strong administrative skills with high attention to detail and accuracy.
· Proficiency in MS Office (Excel, Word, Outlook).
· Excellent communication and organizational skills.
· Ability to multitask and manage shifting priorities in a fast-paced environment.
Preferred Skills
· Experience with production management systems (e.g., PCMS, Avanti).
· Understanding of print processes, inserting equipment, and digital workflow.
· Strong problem-solving skills and ability to work under tight deadlines.
